Capacity is bundled, not chosen
A one-person project account is priced like a full seat, even if it stores a few gigabytes and sends ten messages a month.
Business model
Microsoft and Google charge every person for a large storage quota that almost nobody fills. One Voice Mail charges for the storage an organisation actually uses — with unlimited accounts and every app included. It is roughly half the price for a typical office, and more of the workday is in the box. The suite runs on your server and through free desktop apps for macOS, Windows and Linux.
01 — The problem
Microsoft 365 and Google Workspace charge per person, and every seat carries a large storage quota. A Microsoft 365 Business Standard seat includes 1 TB of OneDrive plus a 100 GB mailbox; a Google Workspace Business Standard seat adds 2 TB to a shared pool. Customers pay for that capacity whether they use it or not, then pay again for every account they add.
A one-person project account is priced like a full seat, even if it stores a few gigabytes and sends ten messages a month.
Seats are sold at 110 TB or 200 TB for a 100-person company that commonly stores 3 TB in total. The rest is provisioning, not value.
Contractors, part-timers, shared mailboxes and project accounts each become another line item, so organisations ration accounts instead of collaborating.
02 — What customers really use
Neither vendor publishes an average, but the signals point to a few percent of the quota. Backup planning guides assume about 10 GB of mail and 15 GB of files per user: about 25 GB in total. That is about 2% of a Microsoft seat and 1% of a Google seat. Customers pay for 40 to 80 times the storage they use.
03 — The model
One Voice charges for the storage an organisation actually uses, not for people. A company that stores 1 TB pays €210 a month, however many people use it. Billing is on the pooled amount stored, in 100 GB steps of €21. Every employee, part-timer, shared mailbox and project account is included.
Not a mail-only plan, not a document add-on, not a meeting upgrade. The same subscription includes the entire suite:
Fair use: each TB includes AI and meeting capacity for about 35 everyday users. Organisations with heavier meeting or AI use can add capacity packs. Storage-heavy firms such as media companies can choose a per-account plan instead.
04 — Worked example
Assume 30 GB per employee, rounded up from the 25 GB planning figure, for 3 TB in total. Prices are list prices with an annual commitment, excluding VAT.
| Microsoft 365 Business Standard | Google Workspace Business Standard | One Voice Mail | |
|---|---|---|---|

05 — Unit economics
Serving the example on Hetzner costs about €500 a month, so €630 leaves a margin of about 20%. That is about €4.70 per active person for servers, meetings and AI, plus €8.59 per TB stored. The model is designed to be sustainable at the price customers actually pay — not subsidised by an investor forever.
Compute, storage, backups and bandwidth for the 100-person example on Hetzner.
At €630 per month, before support and payment costs; every additional terabyte contributes €210.
Per active person for servers, meetings and AI, plus per TB stored. Capacity packs cover heavy use.
06 — Commercial options
We are open to several business models. The right one depends on who should carry the infrastructure, the compliance burden and the capital cost. The storage-based price below is our recommended default, not the only option.
We run the servers; the customer pays for pooled storage. Unlimited accounts and every app included.
A familiar monthly or annual plan for organisations that prefer a predictable seat price over metered storage.
A licence and support agreement for organisations that must run everything on their own infrastructure.
Investors and distribution partners: the model is designed to work at a low price point, with a clear path to margin and several ways to sell it. We are open to hosted, subscription and client-owned structures, and to regional partners who can run the hosted model.
07 — Questions
Pricing is a commercial decision, not a hidden one. These are the questions a finance or IT lead asks first.
For a 100-employee company storing 3 TB, One Voice costs €630 per month. Microsoft 365 Business Standard is €1,310 and Google Workspace Business Standard is €1,360 at the reference list prices: 52% and 54% less, or €8,160 to €8,760 a year. The saving depends on storage per person and regional pricing.
Billing is on the pooled amount stored in the plan, measured in 100 GB steps of €21, with a base rate of €210 per TB per month. Accounts are not billed per person, and every employee, part-timer, shared mailbox and project account is free.
Yes. The client-owned model gives the organisation the complete stack on its own infrastructure, with a licence and support subscription. The hosted model is there for teams that would rather not operate mail servers at all.
The 50% saving holds up to about 30 GB per person. Media companies and others with large archives can choose a per-account plan; the storage-based plan is not forced on them.
